Manager Of Accounting & Finance

POSITION HIGHLIGHTS

HACE seeks a visionary accounting/finance professional who serves a key leadership role of the organization. The Manager of Financial Reporting & Strategy is responsible for overseeing the financial & accounting department and data analysis and reporting for business development, marketing, and client engagement.

KEY RESPONSIBILITIES

Financial & Accounting:

  • Provide Financial Reports on a monthly basis using QuickBooks Online
  • Lead the Annual Financial Audit process; work with auditors on a yearly basis to provide the necessary information
  • Lead the annual execution of Organization fiscal responsibilities (taxes, 1099)
  • Work with COO & President & CEO on management and board reporting
  • Oversee the Invoicing, Accounts Receivables, and Accounts Payable activities, provide support and complete accounting activities when needed
  • Oversee the partner and vendor portals, provide support and complete task when needed
  • Manage the Chart of Accounts and General Ledger
  • Reconcile the bank statements on a monthly basis, make journal entries as needed
  • Review and approve the accounting staff’s activities on a daily basis
  • Review, approve, and submit budget to actual reports for accuracy i.e. projects costs, revenue projections, and overhead spend
  • Create invoices for partnerships, including programs and events as needed
  • Pay organizational invoices on a monthly basis
  • Lead the Quarterly Budget Utilization Review with the Directors
  • Lead & manage the Aging Report and related activities on a monthly basis
  • Lead the End of Year Campaign financial reporting, provide updates to leadership as directed by the COO
  • Oversee all the donation portals
  • Oversee all Donation correspondence i.e. Thank You Letters
  • Act as the liaison for donations and budget guidance to the board and aux board members

    Management Responsibility:

    • Provide weekly (or more frequently) supervision of accounting activities and staff
    • Assist the accounting staff in all and any accounting activities when needed
    • Train new staff on finance and accounting department
    • Responsible for working with Client Engagement and Marketing Departments for partner satisfaction
    • Work with Business Development and Client Engagement to understand partner needs and delivery
    • Assist President & CEO and COO on special projects when needed
    • Conduct data collection, entry, and managementas directed by COO.

    Administrative Support:

    • Accounting administrative assistance includes check pick up and bank deposits
    • Data collection, entry, and management
    • Support during Summit & Gala event planning
    • Other administrative duties as requested by President & CEO and COO

      QUALIFICATIONS

      • Bachelor’s Degree (a minimum) in Accounting, finance or related field; Master’s Degree/MBA preferred
      • A minimum of 5 years of financial reporting, bookkeeping and accounting experience
      • Experience in Non-Profit Accounting and organizational reporting
      • CPA license or license eligible a plus
      • Proficient in QuickBooks (strong preference with QB certification)
      • Demonstrated ability in managing customer relationships
      • Strong knowledge of Microsoft Excel and CRM platforms
      • Previous experience working closely with senior leadership and executives
      • Proven ability in handling multiple tasks in a fast-paced environment
      • Excellent verbal, written, and interpersonal communication skills
      • Position is based remote in Chicago, IL (or surrounding areas) but will require travel, 15%.

        Partnership Engagement Manager

        POSITION HIGHLIGHTS

        The Partnership Engagement Manager will grow and strengthen HACE’s national network by delivering excellent customer service and engagement to corporate partners and HACE members nationally.  Incumbent will be responsible for account management, membership development, and overseeing the day-to-day aspects of our corporate partnerships, working closely with the marketing staff and program managers.

        KEY RESPONSIBILITIES

        Account Management:

        • Manage accounts of all sizes (between 30-60 accounts) including managing deliverables, providing KPIs, managing partner input and feedback for all projects
        • Develop a thorough understanding of the partners’ position in the market, their product/service, points of difference and competitive landscape
        • Build and maintain strong relationships with key decision-makers and stakeholders within existing partnerships.
        • Conduct monthly meetings (or more frequently as requested) with clients, to manage deliverables and expectations, and encourage relationship-building opportunities
        • Develop and maintain strategies for talent acquisition, retention, and development for all assigned partner accounts
        • Monitor Career Center database accounts for all assigned partners, help troubleshoot any issues when needed
        • Generate/create and deliver quarterly (more frequently if requested) reports to corporate partners outlining engagement, branding, and recruitment outcomes.
        • Develop metrics, measurements, and surveys to track the impact of HACE’s services
        • Manage and record day-to-day partner communication via CRM platform and timely delivery of all projects
        • Work collaboratively with other agency departments to ensure engagement and smooth delivery of program, marketing, and relevant events
        • Leverage HACE website, LinkedIn, and e-commerce technology to engage employers and increase their visibility
        • Attend partner and community events in order to recruit and connect with members

          Business Development:

          • Identify and develop new fundraising and partnership opportunities through proactive prospecting, lead generation, and relationships.
          • Stay up-to-date with industry trends, market developments, and competitor activities

          Administrative Responsibilities:

          • Collaborate with HACE staff, Board of Directors, Auxiliary Board and Volunteers in developing protocols with fundraising prospects
          • Contribute to the execution and planning of HACE program training sessions and key events when applicable
          • Help to develop compelling marketing messages and campaigns
          • Serve as a representative of HACE at fundraisers, professional networking events, relevant conferences and college campuses

            QUALIFICATIONS

            • Bachelor’s Degree in business or related field and 3+ years of account management experience, business development, and consulting; Talent Acquisition or DEI experience a plus.
            • Bilingual in Spanish and English strongly preferred.
            • Demonstrated ability in managing customer relationships and community programs.

              POSITION HIGHLIGHTS

              The Director of Strategic Initiatives & Partnerships will grow and strengthen HACE’s national network through oversight on program delivery, program enhancements and partnership development, and handling the day-to-day aspects of our Partnership Department. The Program Director will report to Vice President of Development & Strategic Initiatives.

              KEY RESPONSIBILITIES

              External Relationships:

              • Expand revenue generating and fundraising activities to support existing programs and the growth of HACE; cultivate existing relationships and develop new funder relationships.
              • Manage relationships with partner organizations.
              • Provide oversight and work closely with Senior Partnership Manager to enhance and confirm partnership renewals

                Overall Program Delivery – New/Expansion & Strategic Initiatives

                • Oversee and lead all program logistics (e.g., venue and speaker identification, speaker prep, communication and outreach to program participants), program events (kick-off and graduation receptions, etc.) and program implementation (in-person and virtual).
                • Supervise and oversee the work of 4 direct staff reports, 5-15 program consultants and speakers, ensuring successful program delivery and experience for participants.

                Partnership Evaluation, Design & Development

                • Collaborate with Program Director on new program content development, curriculum design and agenda setting to ensure we are continually iterating our programming to create maximum impact and value for participants.
                • Work with leadership programs corporate partners to ensure engagement and smooth delivery of program and relevant events, via conference calls, meetings, events, etc.
                • Analyze and report qualitative and quantitative feedback from participants to identify successes and lessons learned, and to make program adjustments.
                • Collaborate with Program Director in developing new content for customized programs as needed.

                Marketing & Communications

                • Support recruitment of sponsors/individual participants in each city, identifying opportunities, and effectively engaging leadership programs alumni in the process.
                • Work with the marketing team in building press, blogger/influencer relationships and make HACE leadership programs a leading brand.
                • Assess event and speaking opportunities, attend relevant events/conferences to strengthen the leadership programs brand.
                • Management & Teamwork – Collaborate with HACE staff, Board of Directors, HACE Young Professional Board members and the Leadership Programs Alumni Board in planning fundraising events and informational seminars.
                  • Hire, train, and manage Account/Partnership Managers, or Support Team as needed
                  • Responsible for account management plan for the new hires
                  • Reporting on the account management for the team and for the organization as a whole

                  QUALIFICATIONS

                  • Bachelor’s Degree in business, education, psychology, and/or related field; minimum of 7+ years of nonprofit management, program management, program curriculum delivery and development, leadership development, and professional/workforce development; experience in consulting, HR, talent recruitment/training, and/or DEI experience; strong preference for MBA/Master’s Degree.
                  • Experience in product development and educational programs strong preferred.
                  • Demonstrated leadership and vision in managing staff groups and major projects or initiatives.
                  • Excellent interpersonal skills and a collaborative management style.
                  • Program budget development and oversight experience.
                  • Familiarity with CRM and/or Hubspot or willingness to learn.
